Agenda

Agenda is where you define items available to your attendees. The items fall into the categories defined below: Scheduled Items, Fees, Merchandise, and Other.

Click the link in the Left Navigation Panel (or the name in the summary panel) to go to the page for that Agenda Category, where you can add and edit those items:

Scheduled Items

Scheduled Items are the time- and location-based parts of your event.

Workshops, Keynotes, Breakout Sessions, Meals, and Activities are examples of Scheduled Items.

Anything that has a time duration and optionally a location.

Scheduled Items may have their own fees, which are separate from the Fees category described next.

Fees and Discounts

Fees and Discounts are adjustments to the amounts attendees pay.

They are often referred to generically as just "fees."

Discounts, Taxes, Surcharges, etc.

Monetary transactions unconnected to physical items or the content program parts of your event.

Note: These fees are separate from the fees tied to Attendee types, Scheduled items, Merchandise, "Other" agenda items and Sessions (in Speaker and Session Management).

Merchandise

Merchandise are things physically available at your event, which could be considered takeaways.

T-Shirts, Publications, Posters, CDs, etc.

May have their own fees (which are separate from the Fees category described above).

Other

Other are any agenda items that you wouldn't consider a scheduled item, a fee, or merchandise.

Like Scheduled items, but the dates and times aren't required fields.

Sponsorships, for example.

May have their own fees (which are separate from the Fees category described above).

The list on each page may be a multi-page list.

Organize Agenda Categories

Organize Agenda Categories – Change the agenda categories of items based on their custom types.

Example: You want to change some "Scheduled" items to "Merchandise".

The page shows what custom types are in each agenda category.

For example, type "VIP" is in the Scheduled category.

Select a different category for one or more of those types.

For example, select Merchandise instead of Scheduled for type "VIP".

Important: Any Scheduled items that have the Type "VIP" are now Merchandise items.

Information removed: Information not relevant in the new category is discarded from the item(s) moved.

For example, Date/Time information about a Scheduled item moved from Merchandise would be discarded because it cannot be recorded on a Merchandise item.

Information added: In the item(s) moved, any information required in the new category which could not be added in the original, is set to system-defined defaults.

For example, the Start Date of a Scheduled item moved from Merchandise would be set to the Event Start Date.

Recommended: Check/edit such values on the affected items.

Import

Import agenda items (from an Excel or .CSV file).

Can include updating existing agenda items, based on Unique Code.

Export

Export agenda items (in a format suitable for editing and re-importing).

Select the Category Type to export: All, Scheduled, Fees & Discounts, Merchandise, or Other.

Select the File Type for the export: CSV ("Agenda Report.csv"), or Excel ("Agenda Report.xlsx").

Waitlisting

Waitlisting – Scheduled, Merchandise and Other agenda items with capacity/inventory limits can be set to include waitlisting on registration form Agenda sections.

This enables registrants to add themselves to a waiting list when an agenda item is no longer available: for example, when a workshop is full, or a merchandise item is sold out.

Note: Registrations with a "Pending" Status count against inventory/capacity.

In order to properly account for inventory/capacity levels, and reduce the chances of overbooking agenda items, registrations with a “Pending” status count against the Inventory. “Pending” statuses include: Four of the system-defined Registration Statuses: Invited, Requested Invitation, Invitation Sent, and Waitlist Hold. Any custom Registration Statuses set with a Classification of “Pending.”
