Separate spreadsheets
Save your resources (agenda, exhibitors, speakers, etc.) as separate spreadsheets. For simplicity, the example spreadsheet includes multiple resources. When spreadsheets are uploaded, the system uploads one resource at a time.
Spreadsheet data begins top left
Make sure the spreadsheet has data beginning in the first column and the first row. There should be no cells above or to the left of the spreadsheet data.
Match spreadsheet headings exactly
Use Touchpoint terminology for all spreadsheet uploads. Refer to the example spreadsheet (attached at the bottom of this article). Copy and paste headings to ensure the uploads use the exact same heading labels. For example, use the heading of "Name" and not "Session Name" for the column containing session titles.
Delete not hide
For columns containing data you will not be using, delete the column. Do not hide the column. Hiding the column may cause unintended data to be imported or uploads to fail. Hidden columns can create unintended issues during importing. Pare the spreadsheet down to include only the information you need.
Remove any extra cells
After you enter all data into the spreadsheet, do a final review. Scroll to the right to make sure there is no unnecessary data past the last column. Scroll to the bottom as well to make sure there is no unintended information entered in a row below the scope of the spreadsheet.
Importing Content
You can initiate an import from one of two places on the Event Dashboard.
1. Start from the Feature
Start from the Feature where you would like to bulk upload content. Select the feature where you would like to import content. Click Import > Excel in the upper right corner.
2. Start from the Import Content button
Start from the Import Content button under Related Resources on the left side menu. Select the type of content you are importing from the Resource type dropdown menu.
Attendee
Use Attendee for bulk uploading Attendees / Attendee profile information. Note: If your event is integrated with Certain Platform or another 3rd party registration system, manage attendees and attendee details there. Sync attendees and attendee details over to Touchpoint.
Event
Use Event for bulk uploading Agenda Sessions / Session information. Note: If your event is integrated with Certain Platform or another 3rd party registration system, manage sessions and session details there. Sync sessions and session details over to Touchpoint.
Exhibitor
Use Exhibitor for bulk uploading Exhibitors / Showcase Items / Exhibitor/Showcase details.
Notes:
- Exhibitor records are not synced over to Touchpoint from Certain Platform.
- If you have Exhibitors for your event, upload the Exhibitor information directly into Touchpoint.
- If your event is integrated with a 3rd party registration system where Exhibitors are managed, manage Exhibitors and Exhibitor details there.
- Sync Exhibitors and Exhibitor details over to Touchpoint.
Info
Use Info for bulk uploading Info Items to be listed under the Info feature.
Link
Use Link for bulk uploading Links to be listed under the Links feature.
Meeting
Use Meeting for bulk uploading 1x1 Meeting details. If you have added the 1x1 Meetings module to your package, you may use this for bulk uploading 1x1 Meeting details.
Note: If your event is integrated with a 3rd party meeting management system, manage meetings there. Sync meetings over to Touchpoint.
Message
Use Message for bulk uploading broadcast and/or individual messages.
Announcements (NewsStory)
Use Announcements (NewsStory) for bulk uploading announcements to be listed under the Announcements feature.
Post
Use Post for bulk uploading posts to be posted on the Discussion Board feature.
Note: Bulk uploaded posts will list the Event Name as the author of the post in the app.
ScheduledEvent
Use ScheduledEvent for any of the following actions:
- Bulk assign existing agenda sessions to attendees' My Schedule using the Personal Itineraries template in the workbook attached at the bottom of this article.
- Change existing personal itinerary assignments using the CHANGE Personal Itineraries template in the workbook attached at the bottom of this article.
- Bulk upload private, off-agenda events (i.e., spa appointments, golf tee times, etc.) to an attendee's My Schedule using the Private Events template in the workbook attached at the bottom of this article.
Speaker
Use Speaker for bulk uploading Speakers / Speaker profile information.
Note: If your event is integrated with Certain Platform or another 3rd party registration system, manage speakers and speaker details there. Sync speakers and speaker details over to Touchpoint.
Survey
Use Survey for bulk uploading Surveys / Survey questions.
Note: If you have not already indicated session survey attachments on your Agenda bulk upload spreadsheet, you must attach the survey(s) to the appropriate agenda session(s) under the Surveys feature in the Touchpoint CMS.
Task
Use Task for bulk uploading tasks to be listed under the To-Do List feature.
Video
Use Video for bulk uploading videos to be listed under the Videos feature.
Confirm the destination for imported content
If necessary, confirm the destination for the imported content selected on the Feature dropdown menu.
For example, if you have multiple Showcase buttons and you are using the Exhibitor bulk upload, indicate which Showcase button your content should go to.
After initiating the import
After initiating the import: 1. Click Choose File, select the Excel file from your computer, then click Save. 2. Verify your field mappings, then click Confirm. 3. On the next screen, double-check your field mappings one more time, then click Import.
This starts the import process. If the system finds errors while uploading the spreadsheet, the system shows the errors on the screen. Once the import is complete, the system shows a message that says "# records have been successfully imported."
