Check-In: Session Configuration

Overview

Session configuration controls how attendee check-ins are handled for sessions in the Certain Check-In app. This article explains how to enable session check-ins. This article explains how to allow walk-ins for sessions. The page includes a video titled "Check-In: Session Configuration" (45 sec).

Check-In Enabled for Sessions

Check-In Enabled for Sessions indicates whether the app allows session check-ins. Setting this option to On enables session check-in. Enabling session check-in adds a Sessions tab in the app. A user will be able to scan attendees into sessions for which they have registered. Note: Turning On requires Attendees to check in at Sessions created using Speaker and Session Management.

May attendees come to sessions without pre-registering for them?

This panel appears when session check-in is enabled. The panel provides three options to determine whether event attendees may arrive at a session without pre-registration.

No – All attendees at every session must be pre-registered for that session. Only to THESE sessions – Select the sessions to which attendees may come even if not pre-registered for them. Yes, to ALL non-fee sessions – Attendees may come to any non-fee session even if not pre-registered for it.

If session check-in is enabled, the following option is available when selecting Either "Only to THESE sessions" or "Yes, to ALL non-fee sessions": Allow walk-ins to override session capacity. If this option is selected, walk-in session registrations will be allowed, even when that would mean exceeding the session's capacity.

Details and workflow

Only published, scheduled session instances without fees are listed for selection. Sessions with fees require pre-registration. A scheduled session instance is one that has been assigned to a location and date/time. A session is published for selected (or all) attendee types on the Sessions page. Select the sessions you want to add to the list. Click Save Selections. The numbers of attendees at the selected sessions will be limited only by session capacity, as defined on the Sessions page. All other sessions will be limited to those who have pre-registered for them. To remove a selected session from the list, click the X at the end of the row, or click Select Sessions to Add or Remove and clear that session's check box.

Walk-in permissions and impact

Yes, to ALL non-fee sessions — Attendees may come to any session (provided it has no fee), even if not pre-registered for it. If Check-In is enabled for Sessions, the option described above becomes available when selecting "Only to THESE sessions" or "Yes, to ALL non-fee sessions." Allow walk-ins to override session capacity — If selected, walk-in registrations are allowed even when that would exceed the session's capacity.
