Flight Packages

Overview

The Flight Packages page is a third page link under Travel in an event. The Travel Packages sub-module must be enabled for the event to show this page. The page allows viewing, editing, and adding flight packages. Attendees can select flight packages on a registration form. You can also allocate flight packages directly on the Registrations > Travel page.

How to add, edit, and delete packages

Add a flight package

Click the Add New button to add a flight package. You will be able to add flights to the package after you save it.

Edit a flight package

Click the pencil icon in the Action column for that package in the Flight Packages section.

Delete a flight package

Click the trash icon in the Action column for that package in the Flight Packages section.

Export

Click the Excel icon above the Action column to export a list of flight packages and their flights to Excel.

Listing and navigation

All flight packages configured for the event appear in a table. The list may span multiple pages. The expand icon in the first column reveals all flights in a package. The collapse icon hides the flights and shows only the package description. The column heading icons let you expand or collapse all packages.

Expanded package details

When a package is expanded, each flight in the package displays details as configured in Plan > Travel > Flights. A flight is labeled as Outbound Flight or Inbound Flight. For each flight, the fields shown are Departure Date/Time, Departure Port, Arrival Date/Time, Arrival Port, Airline, and Flight Number. The Action icons allow editing or deleting the package; these icons appear only for the package row, not for individual flights.

Travel Package Information

The Travel Package Information and Selected Flights sections replace the list of Packages when you are editing a package. When you are adding a new package, the Selected Flights section is not displayed until you Save the package. The package information consists of the Description and the list of Selected Flights.

Selected Flights

The Description is required. The description identifying a package must be unique in an event. The Selected Flights section lists the flights in that package. The information shown matches what is set up on Plan > Travel > Flights.

Add Flights to Package

Click Add Flights to Package on the Selected Flights section heading to open the window. All flights in this event are listed. You can narrow the list by selecting one of the items in the unlabeled dropdowns: Airline, Flight Code, Departure Port, Arrival Port, or Inbound/Outbound. After filtering, the list shows only matching flights. The list includes the following information for each flight: Check box, Description (Inbound / Outbound), Airline, Flight, Departs (Date/Time, Port), Arrives (Date/Time, Port). The Reference Number for each selected flight determines the seat block to use.

Steps to add flights

Select the check boxes for the flights you want to add. You can select all flights by using the checkbox in the column heading. For each selected flight, select the Reference Number for the seat block to use. Click Add Flights to add the selected flights to the package, and return to the Flight Packages list.

Add Flights to Package (details)

The Add Flights to Package window lists all flights in the event. The window shows the same flight fields as described above. You can filter the list with the unlabeled dropdowns. The list shows the checkbox, description, inbound/outbound, airline, flight, departs, and arrives. You can select flights and then add them to the package.
