Custom Statuses
This page lists the custom registration statuses defined for the event. This page may be a multi-page list.
Click one custom status to see or edit its details. Click Add New to add a new custom status.
Either action opens the Registration Status Details section described below.
A registration status tracks the progress of a single registration through the registration process. An event can have any number of custom registration statuses in addition to the 11 standard statuses. This page provides details for each custom registration status below.

Standard (Default) Registration Statuses
The 11 standard (default) registration statuses are listed below.
Note: the account setting Show Default Statuses can be cleared on Account Settings > Implementation > Security. In that case, none of these default statuses are available for use in events. Only the custom statuses set up in this page would be available for use on forms, for assigning directly to registrations, and other uses.
| Status | Classification | |---|---| | New | Accepted | | Requested Invitation | Pending | | Waitlist Hold | Pending | | Invited | Pending | | Request Denied | Denied | | Invitation Sent | Pending | | Pre-Registered | Accepted | | Declined Invitation | Denied | | Cancelled | Cancelled | | No-show | Accepted* | | Attended | Accepted |
> Note: "No-show" status is classified "Accepted". Any resulting agenda item fees, for example, are not canceled unless explicitly canceled for a registrant, or the planner executes a cancellation mass action.
Custom Registration Statuses
Custom registration statuses enable a registration process that meets specific needs.
For example, a series of speaker status levels might be:
- Need photo and resume
- Need photo
- Need abstract
- Pre-registered
A speaker can register online. The system can be set in Form > Setup > Assign Reg Status to assign the status of Speaker registrations to "Need photo and abstract".
When the registrant later sends in her photo, the status can be changed to "Need Abstract". After the registrant sends in her Abstract, the status can be changed to "Pre-registered".
A standard report named "All Registrations By Status" can be used on the Event Dashboard. This report can be used to instantly track how many speakers have registered and how many still need to provide materials.
Groups of attendees can be selected. Email reminder messages can be sent with 2 more clicks.
Registration Status Details
When adding a new status, or editing an existing one, complete the following fields.
- Name – (Required) A unique name for the custom status.
- Sort Order – (Required) A whole number between 0 and 255. This value determines the display order of the status relative to others for the event.
- Note: a sort order less than 100 means the status appears above the standard registration statuses.
- Note: a sort order greater than 110 means the status appears below the standard ones.
- Custom Status Group – Select a status group, if required. This value is used to group statuses in any drop-down lists where a registration status is selected. This example includes assigning a status to a registration. Custom statuses in no group are listed under Custom Statuses in such a list.
- Add a new group – Enter the name of a new Custom Status Group, if required. The status is in that group when saved. The group is in the Custom Status Group drop-down list for use with other statuses.
- Description – An optional more detailed description of the custom status than provided in the Name.
- Tags – If Tags have been set up for the account and assigned to the "Registration Statuses" object by an Administrator, one or more tags can be selected here.
- Note: the field is not shown if no such tags have been set up.
- For example, for digital events, a planner may assign a ' Registered ' tag for use in triggering flows in Certain Digital. See Digital Events: Overview.
- Technical Note: All tags are exposed via Certain's API 2.0. The APIs associated with the objects return the associated tags if you include an includeList=tags attribute.
- Note about Standard Reg Statuses: An administrator can apply tags to any of the standard registration statuses listed above. See Account Settings > Management > Registration Statuses.
- Registrations with this status count as: Select one of the following four options. Each option specifies how Certain should treat registrations in this status:
- Accepted – Registration counts against all inventory and order limits if it also has no balance due or the appropriate setting is selected in the event-setup.
- Pending – Awaiting approval by planner. (Counts against inventory limits.)
- Cancelled – Registration was accepted, then later cancelled. (Subject to cancellation fees.)
- Denied – Registration was never registered. The registrant will not be able to attend the event. This applies whether by choice of the attendee or the planner.
