Digital Events: Using Certain Connector Signal with Zoom

This is the second of three topics about setting up Digital Events when using Zoom as your webinar provider.

For simplicity, this topic refers to “Zoom”. “Zoom” refers to Zoom Webinars or Zoom Meetings. Certain Signal Connector works with both.

Prerequisites

Requirements

1. A Zoom Pro account.

2. Certain Signal Connector and its Zoom sub-module enabled in your Certain account.

3. Tags set up by an Administrator in your Certain account. Tags are used in your Flows in Signal Connector.

Steps to Follow

Steps to follow include two or possibly three items.

1. One-off initial configuration in Zoom. 2. One-off configuration in Certain Signal Connector. 3. Set up each webinar in Zoom. This step applies if you link to an existing webinar instead of creating one from within Certain Platform.

Zoom: Initial Configuration

Take the following steps in Zoom before you can configure Certain Signal Connector.

You only need to do these steps once.

1. Go to account > Advanced > App Marketplace. 2. Click Develop and then Build App. 3. Under OAuth, click Create. 4. In the Create an OAuth App pop-up: 1. Enter an App Name of your choice. 2. Under Choose an App Type, select Account-level app. 3. Disable publishing to the marketplace. 4. Click Create. 5. App Credentials: 6. Important: Copy the Client ID and Client Secret and record them for use when setting up the Connection in Certain Signal Connector. 7. Enter the Redirect URL for OAuth and the Whitelist URL for your organization. The Redirect URL and the Whitelist URL are the same for both. https://identity.certain.com/OauthCallback 8. Enter something in the Information fields. The Information fields just need to be filled out. 9. Leave Features blank. 10. Scopes: 1. Select Read/Write access for Meeting, Webinar, and User. 2. Select Read access for Report. 11. Install your app on the last screen.

Certain Signal Connector – One-off configuration before you can set up a digital event

Certain Signal Connector one-off configuration is required before you can set up a digital event.

1. As an Administrator, open Certain Signal Connector from Account Settings > Implementation.

2. Click Connections on the left and add a Connection to Zoom. Use the Client ID and Client Secret from Step 6 above.

3. Click Data Sources on the left and Add a Data Source: Zoom.

4. Click Outbound Flows on the left.

5. Click QUICK START.

6. QUICK START automates the creation of the flows described below.

7. The automated flows apply to each digital event or session connected to a webinar.

8. The flows apply depending on the flow types selected below.

9. Assuming you select all the Flow Types described below, these flows are:

10. Four Outbound Flows from Certain to that Zoom Connection for each event:

1. Add Registration

2. Cancel Registration

3. Add Session Registration

4. Cancel Session Registration

11. Two Inbound Flows to Certain from that Zoom Connection:

1. Update Digital Engagement for Event

2. Update Digital Engagement for Sessions

12. Note: The default mapping(s) will include all the mandatory fields required by Zoom.

13. Note: Do not change the mandatory fields.

14. Note: Consult our technical experts for specialized field mappings.

15. In the Quick Start:

1. Flow Category: select Digital Event Support

2. Integration Type: Select Zoom Webinar or Zoom Meeting

3. Connection Used: Select the Connection set up in step 2 above.

4. Flow Type:

Select Event Registration Flows to create Outbound Flows from Certain (to the Zoom Connection in step 2) for digital events where the event itself is linked to a webinar.
Select Session Registration Flows to create Outbound Flows from Certain (to the Zoom Connection in step 2) for sessions linked to webinars.
Select Attendance Flow to capture in Certain (via an inbound flow) whether an attendee actually attended a webinar in Zoom.
Select Engagement Flow to capture in Certain (via an inbound flow) the attendees’ engagement in the event or session.
Engagement Flow captures whether the attendee attended live or on-demand.
Engagement Flow captures the numbers of questions asked, etc.

Zoom: Setup per Event or Session (only if not creating Webinar from within Certain)

Zoom: Setup per Event or Session applies only if you do not create the webinar from within Certain.

You can choose to create the Zoom webinar from within Certain Platform. Create the Zoom webinar by selecting that option when setting up the event or session.

If you create the Zoom webinar from within Certain Platform, these instructions do not apply.

If you connect the event or session to a webinar set up in Zoom, follow these steps.

For each digital event or each session in a digital event:

1. Set up the webinar in Zoom. 2. Set the option for Registrations Required. 3. Turn automatic approval on. 4. Capacity is determined by your Zoom licence. 5. Note which fields are mandatory. 6. Mandatory fields must all be included in the mapping(s) used in the relevant outbound Flow(s) in Certain Signal Connector. 7. Record the Webinar ID. 8. The Webinar ID is needed when setting up the event or session in Certain.

Zoom FYI: Settings Applied in Zoom (when you create the webinar from within Certain)

To streamline the creation of Zoom webinars/meetings through Certain Platform, the following settings are always applied:

Enable Registration = true
Auto Approve Registrations = true
show_share_button = false (social sharing)
registrants_confirmation_email = false
notify_registrants = false
registrants_email_notification = false
close registrations after meeting end time = true

If you set the webinar to be On Demand, recording is turned on.
