Event List

Overview

Event List is the list of events accessible from your account.

The list excludes templates.

The list can be viewed as a List or as a Calendar.

Your preference persists when you return to the page.

If your account has sub-accounts, you see the events listed by sub-account.

If there are multiple levels of sub-accounts, only the next level down is shown.

Navigate down to a sub-account to see events in its sub-accounts.

If an event is in a sub-account, you are working in that sub-account.

If you then return to the Event List, it lists only the events in that sub-account (and any sub-accounts below it).

To work on an event, click that row in the list to go to the Event Dashboard for that event.

Add a New Event

Add a New Event opens a New Event modal window.

There are two options.

Go to Template Browser.

Go to the Event Templates page, where you create an event based on a template event.

Don't Use a Template - Start From Scratch.

Go to the Add Event page, where you enter all the initial details.

Export List

Export the list to an Excel or CSV file.

Note: The export recognizes any filters you have applied.

Recent Items

This panel on the right lists shortcuts to the items you've accessed most recently: individual events, registrations, forms, etc.

Filters

You can limit the list of events displayed using various filters.

Your choices are remembered when you return to the Event List.

Click the Magnifying Glass button to apply filters you've changed.

Status

Select All, or one or more individual statuses, which include Testing, Live, Cancelled, etc.

Start/End Periods (unlabeled)

Start/End Periods options include All Events.

Ongoing Events.

Upcoming Events.

Starts in next __ Days (30, 60, 90, 180, 365).

Ended in last __ Days (30, 60, 90).

More

Click to select further filters:

Event Owner.

Time Zone.

Tags.

Custom Event Fields.

Standard Event fields.

Search

In the empty field with the prompt text "Name, Code, Location or External ID", you can enter any word(s) or part of a word to restrict the list to events with that string of characters in its Event Title, Event Code, External Event ID, or Event Location (City, State or Country).

Example: Searching for "Conference" or even "onf" would return events such as "Sales Conference 2020".

Note: The filters are all applied. (Technically, think of them as logical 'AND' clauses. For example, if the Status filter is Testing then searching on "Conference" would not return a "Sales Conference" event that was Live.)

Event List

Default Columns: Events are listed with a few default columns, including Event Title and Start Date.

More columns: Capacity, Registered, Status, Availability, External Event Id, Date Created, Date Modified, Event Notes, Event Owner, Event Timezone, End Date.

Sorting: Click a column heading to sort by the values in the column.

Copying events: Click the Copy icon in the last column to copy the event. This takes you to the first page of the Copy Event Wizard. There you can copy previous events to copy down into a child account.

Preview form: Click the Preview icon in the first column to preview an event's primary form, probably to confirm it's the event you're looking for.

Columns

Event Title — The name given to the event in Event Setup.

Start Date — The date the physical event will begin on site, as configured in Plan > Event Setup > Details.

Location — Where the event will be held, configured in Event Setup > Location.

Event Code — The unique code given to the event in Event Setup.

Complete — The number of attendees who have registered and have progressed completely through the registration form, all the way to the confirmation page. More information about Registrations is available on the Event Dashboard shown when you click an event's name.

Other Event Lists (FYI)

A Reviewer sees an event list of the events to which they have been assigned as a reviewer (to review registrations when the Qualification and Approvals module is in use).

A Reports Only user sees an event list with the reports available to their assigned role in each event.
