The Flight Packages page is the third page-link on the Travel page in an event. The Flight Packages page is displayed if the Travel Packages sub-module of the Travel Module is enabled for the event (in Plan > Configure > Options).
This page is used to view, edit, and add flight packages. Attendees can select flight packages on a registration form. Event staff can allocate flight packages to attendees on the Registrations > Travel page.
Add, edit, delete, and export flight packages
- To add a flight package: click the Add New button.
Flight packages can have flights added after the package is saved.
- To edit a flight package: click the icon in the Action column for that package in the Flight Packages section.
- To delete a package: click the icon in the Action column for that package in that section.
- To export a list of flight packages and their flights to Excel: click the Excel icon above the Action column.

Travel Packages
All flight packages set up in the event are listed in a table. This may be a multi-page list.
Click the expand icon in the first column to show all flights in a package. For an expanded package, click the collapse icon to hide flights and show only the package description. Click the expand or collapse icon in the column heading to expand or collapse all packages.
When a package is expanded, the following information is shown for each flight in the package. This information is set up on Plan > Travel > Flights.
- (Outbound Flight) or (Inbound Flight)
- Departure Date/Time
- Departure Port
- Arrival Date/Time
- Arrival Port
- Airline
- Flight Number
- Action — click to edit the package.
The Action includes the Reference Number, i.e. reserved seat block.
Action also includes a click to delete the package.
These icons are only shown in the row for the package description, not for each flight.
Travel Package Information
The Travel Package Information and Selected Flights sections replace the list of Packages when editing a package. When adding a new package, the Selected Flights section is not displayed until the package is saved.
The information about a package consists of its Description. The information also includes the list of Selected Flights.
Description
- Description — (Required.)
The description identifying a package must be unique in an event.
Selected Flights
The Selected Flights section is displayed below the Package Information. The Selected Flights section lists flights in that package. The following information for each flight is set up on Plan > Travel > Flights.
- Airline — The airline (carrier) operating the flight.
- Flight Number — The airline’s code identifying the flight.
Example: AA1867.
- Reference Number and Inventory — The Reference Number on this flight allocated to this package.
Two figures in parentheses after the Reference Number show its unallocated and total inventory.
A drop-down list is used to select a reference number.
- Order — Click to move the flight down in the list.
Click to move the flight up in the list.
The flights should be in the order of travel, with the first flight in the journey at the top of the list.
This order can be used to account for international dateline issues.
- Action — Click delete to remove a flight from the package.
Click edit to edit the Reference Numbers on a flight.
To add flights to the package, click Add Flights. Clicking Add Flights opens the Add Flights pop-up window described next.
Add Flights to Package
An Add Flights to Package window opens when you click the Add Flights to Package button on the Selected Flights section heading.
All flights in this event (as set up on Plan > Travel > Flights) are listed.
The list can be narrowed by selecting one item in the unlabeled drop-down list. The selectable items include Airline, Flight Code, Departure Port, Arrival Port, or Inbound/Outbound. A value is then typed or selected in the unlabeled field on the right. The list then shows only matching flights.
The list includes the following information for each flight:
- Check box (unlabeled)
- Description
- (Inbound) / (Outbound)
- Airline
- Flight
- Departs (Date/Time, Port)
- Arrives (Date/Time, Port)
Steps to add flights to a package
1. Select the check boxes in the first column to select flights to add to the package. Select the check box in the column heading to select all flights. 2. Reference Number — For each selected flight, select the Reference Number for the seat block to use. (“Reference Numbers” are explained in the Flights topic.) 3. Click Add Flights to add the selected flights to the package. The process returns to the Flight Packages list.
