Import Accommodation Blocks
A. Prepare an Import File
- The Import Accommodation Blocks process begins with preparing a CSV file containing the data to be imported.
- The first row of the file contains the column headings (the field names).
- The columns in the file must include all required fields.
- Best practice: Keep the columns in the same order.
- Best practice: Use the same or similar names as used in the mapping step.
- A file cannot be imported if any of the "Required" fields are not included.
- The import of a record will fail if any of the "Required" fields have no value.
- Save the file as a CSV file, where the first row contains the column headings (the field names).
- The usual method is to save an Excel file as "CSV (Comma delimited)".
B. Import Your Data
- The Import Accommodation Blocks process uses the Accommodation Import Wizard to import it.
- Select Blocks as the type of accommodation to import.
- Browse to select a file to upload.
- Upload the file.
- In the pop-up window, map the columns in the import file to the data fields, which are listed below.
- See the Blocks help topic for full details of these fields.
- Hotel Code is required.
- Hotel Code must be for an existing hotel already set up on Accommodation > Hotels.
- The hotel's Unique Code can be seen by clicking the pencil icon to edit the Supplier record.
- Room Type Code is required.
- Room Type Code must be for an existing Room Type already set up on Accommodation > Room Types.
- Start Date is required.
- Start Date format is mm/dd/yyyy.
- End Date is required.
- End Date format is mm/dd/yyyy.
- Rate is optional.
- If Rate is included, Rate must be a positive number with up to two decimal places.
- Inventory is required.
- Inventory must be a positive integer.
- Contracted Inventory is optional.
- If Contracted Inventory is included, Contracted Inventory must be a positive integer.
- Click Import.
- The import is queued; the system sends an email when processed.
- The blocks become available for use and can be seen and edited on Accommodation > Blocks.
After the Import is Complete
- When setting up a block on Accommodation > Blocks, you can restrict attendee types with access to the block.
- Restricting attendee types is not available during the import.
- You can do that manually on Accommodation > Blocks at any time after the import is complete.
Attendee Types that Can Select this Block
- Initially, all attendee types are listed in the Allowed column.
- By default, all attendee types would be able to see and select the block on the registration form.
