Meeting Requests (Home)
The Meeting Requests List contains a list of all meeting requests within the account. On this page, you can view the status of meeting requests. You can create new meeting requests. You can edit meeting requests. You can approve meeting requests. You can cancel meeting requests. You can delete meeting requests. You may need to change the filter to Upcoming meetings or My meetings to approve a meeting request.
Click Add Meeting Request to create a new meeting request.
Filter options
The Filter determines which meeting requests are displayed.
The Filter options are:
- All Meetings
- Upcoming Meetings
- My Meetings
- Archive
- Cancelled and Denied Meetings
Meeting Requests List View
The Meeting Requests List has the following columns for each meeting request.
- Earliest Start shows Month, Day, Year for the meeting’s earliest possible start date.
- Status shows the meeting request’s current status.
- Incomplete shows the requester did not complete the meeting request form.
- Requested shows the requester completed the meeting request form and is awaiting approval.
- Approved shows the approver has approved the meeting request and authorized a budget limit.
- Denied shows the approver denied the meeting request.
- Cancelled shows a user has cancelled the meeting request.
- Planning shows the meeting request was approved and converted to an event.
- Location shows City, State or City, Country for non-U.S. addresses if the requester entered this data in the request form.
- Meeting Name shows the name entered in the request form by the meeting requester.
The same meeting name can be re-used.
- Requester shows the name of the requester.
The link takes you to the individual’s profile page.
- Approver shows the name of the approver.
The link takes you to the individual’s profile page.
- Planner shows the name of the user assigned to the meeting request/event as its planner, if a planner has been assigned.
The link takes you to the individual’s profile page.
If no planner is assigned, click to find one to assign.
All users with a user type of Event Builder or higher are available in the drop-down list.
Typically, you wait until the meeting request is approved before assigning a planner.
- Actions shows the actions that are currently available for the meeting request.
- Approve shows the link that will take you to the approval form set up for that website.
- View Event shows an action for an approved meeting request that has been converted to an event.
- Convert to Event converts an approved meeting request into an event.
You must use an existing event as a template.
The estimated budget for your meeting request is transferred to the existing event’s Management Budget Summary Report.
- Edit the meeting request.
- Copy the meeting request.
- Cancel the meeting request.
- Delete the meeting request.
