Merchandise (Agenda Items)

Item List

Merchandise items are physical items. They are usually takeaways.

Examples include t-shirts.

Examples include books.

Examples include posters.

Examples include CDs.

To add an item, click Add New in the Item List header. The Details panel opens.

To edit an item, click the edit icon in the Item List. The Details panel opens.

To delete an item, click the Delete icon in the Item List.

To copy an item, click the Copy icon in the Item List.

Note: You cannot delete an item that is currently in use. An item that is in use is assigned to an attendee.

Import merchandise items by using the Import option on the Agenda page.

Export a list of merchandise items by using the Export option on the Agenda page.

Item List shows merchandise items for this event. The list may be multi-page.

Add New creates a new merchandise item. The Details pane opens.

If the list is collapsed, click to expand it and show the Add New button.

Filter By limits the list by selecting a Type. All items are listed unless a filter is applied.

Click above a column to sort the list by that data. The sortable columns are Name, Type, Inv, Sold, Wait, Avail.

Inv stands for Inventory. "Unltd." means unlimited; it is set by entering zero in the Inventory field.

Sold is the number sold.

Wait is the number on the waiting list.

Avail is the number still available if Inventory is set.

Avail equals Inv minus Sold if Inv is set. If Inv is not set, Avail is unlimited.

Actions are icons: Edit, Delete, and Copy.

To edit an agenda item, click the Edit icon. The Details panel opens.

You cannot delete an item that is in use (assigned to an attendee).

To delete an item, click the Delete icon.

To copy an item, click the Copy icon.

Custom Merchandise Types

Every Merchandise item has one type. The default type is Item. A custom type can be added in this section.

Existing custom types are listed.

To add a new Type to the list:

Add New

A pop-up window labeled Add New Custom Type opens.

Type a Name for the new Type.

Click Save.

The pop-up window closes, and the new Type is included in the list.

To edit a custom type, click the Edit icon.

Note 1: You can only edit the Name.

Note 2: You could use Organize Agenda Categories on Event Setup > Agenda to move a custom type from Merchandise to a different category, such as Scheduled.

Caution: That would also change the category of all Merchandise items of that custom type. For example, instead of being Merchandise they would become Scheduled.

To delete a custom type, click the Delete icon when you hover over the icon.

Note: You cannot delete a type that is in use (assigned to a Merchandise item).

To copy a custom type, click the Copy icon.

Merchandise Groups & Classifications

To help you manage Merchandise items, each one can be assigned a Group and/or a Classification.

Any existing Groups and Classifications for Merchandise items are listed.

To add one to the list:

Add New

A pop-up Add Group or Classification window opens.

Type a Name.

Select Group or Classification.

Click Save.

The pop-up window closes, and the new entry is included in the list.

To edit a group or classification, click the Edit icon.

Note: You can only edit the Name.

Note: You cannot change its designation from Group to Classification, or from Classification to Group.

To delete a group or classification, click the Delete icon.

Note: If you try to delete one that’s in use (is assigned to a Merchandise Item), you are prompted for confirmation.

To copy a group or classification, click the Copy icon.
