Registrant Details (Attendee Form)

The Registrant Details section of the registration form collects a registrant's personal contact information.

Section Header

A Section Header can be configured on most of the pages that make up a registration form.

A Section Header is typically used to display additional instructions or event information related to that section.

Text Above Header

Text Above Header is displayed above the header bar, at the top of the section.

Header Text

Header Text is displayed in the header bar (in a contrasting color).

The default value is "Personal Profile".

Text Below Header

Text Below Header is displayed directly below the header.

Formatting

The text in any of the three fields can be plain text.

The text in any of the three fields may also include HTML tags.

You can click the </>.icon below the lower right corner of the text box to edit the text in an HTML editor.

The HTML editor opens in a separate pop-up window.

No Header

No header is shown for the section when the attendee views the form if all the fields in the Section Header area are left blank.

Select Fields

Available Fields are on the left.

Available Fields include the default Certain Profile fields.

Available Fields also include any custom profile fields defined for the account.

Selecting fields

Using the arrow controls, select fields there and move them to the Fields to Display list on the right.

To save scrolling through a long list of fields, you can type any part of a field name in the Filter text box.

The Filter text box limits the list to matching fields.

Moving fields

Click » or « to move selected fields to the right or left.

Click »» or «« to move all fields right or left.

Click Top, Bottom, Up, or Down to change the position of a selected field in the Selected Data Fields box.

The Selected Data Fields box order is the order in which field will appear in the form.

> Note: You can enable new registrants to select their own Username and Password (which are stored at the account level, in their Profile record), by including those fields on this page.

These fields can be used on registration forms to restrict access to Profile logins.

Gender

Gender shows as a field.

Gender works like a custom profile question.

Gender customization includes customizing the answer subset.

Insert Row

Insert Row enables you to create a multi-column profile section layout.

All fields between <{new row}> markers will be displayed on a single row on the registration form.

Save

Click Save at the bottom of the page after making your field selections.

Save lets you modify the selected fields in the Active Registrant Information section.

Active Registrant Information

Active Registrant Information configures the behavior of each field after you have selected the information to collect about each attendee.

After clicking Save, you see a row for each selected field.

You may configure the behavior of each field as follows:

Require

Require collects data and requires that an answer be provided.

Require cannot be set for custom profile data fields unless you click override defaults.

If a data field is collected, the data is validated.

An error message is returned if an error is found.

For example, U.S. addresses are validated for 5 or 9 digit zip codes and 10 digit phone numbers.

Email addresses are validated for the user@domain.xxx format.

R-only

R-only (Read-only) displays data.

R-only prevents the online registrant from modifying that information.

R-only is useful for invitation events.

For invitation events, you can allow the invitee to register online.

R-only can prevent the invitee from transferring the invitation by changing the name fields.

> Note: If a field is marked as "Read-only", but the registration does not have any data for that field, then an empty text form field will be shown.

This enables the registrant to optionally provide the missing information.

Verify/Confirm

Verify/Confirm includes the field on the Verify and Confirm pages of the form.

Verify/Confirm also includes the field on the confirmation email.

Clear the check box here to hide the field in those places.

Text to Display

Text to Display is the label displayed on registration form.

Size

Size can be set to Long, Medium, or Short.

See Display Settings for definitions.

Default or Subset of Answers

Default or Subset of Answers sets the default answer.

Default or Subset of Answers can also set a list of answer options for the question, where required.

> Note: Changes made to the gender label are stored at the event level.

Changes made to the gender label are not independent of changes made in other forms.

Custom Profile Questions

A custom question in the list has a checkmark icon instead of a row number.

Other fields cannot be edited for custom questions.

Override defaults for custom questions

Click the first-column icon to override defaults for custom questions.

You can then make the question Required.

You can also edit the Text to Display.

Those fields default to not required.

Those fields default to the text from Custom Profile Data.

Question icon

Click the icon on the right of the Text to Display to restrict the list of answer options displayed on the form.

Then edit the settings in the Customize Profile Answers pop-up window.

Other Options

Email Uniqueness

Email uniqueness is determined by one of these three radio buttons.

Do not enforce email uniqueness

Do not enforce email uniqueness allows attendees to register multiple times for this event using the same email address.

Do not enforce email uniqueness would create duplicate profile and registration records.

Enforce email uniqueness within this event

Enforce email uniqueness within this event prevents an attendee from registering for this event if there is already a registration record with the same email address in this event.

This means someone has already registered for it using that email address.

If this option is selected, the two additional fields below are displayed.

> Note: Someone may have registered for a different event using the same email address.

This means multiple profile records can still have the same email address because profile records are held at the account level.

Enforce email uniqueness within this account

Enforce email uniqueness within this account prevents an attendee from registering for this event if there is already a profile record in this account using the same email address.

This is probably as a result of registering for any event in this account, including this event.

Note: This is the default value for new forms and new events.

If the form or event is a copy, then the form's default value is whatever the value was in the original form.

> Caution: If this is selected, a potential attendee already in the account's profile database can still register if you set the form's Entry Page to optionally collect Username and Password.

If the attendee knows their Username and Password, registration can still occur.

If this option is selected, the two additional fields below are displayed.

Additional fields when enforcing email uniqueness

If either of the "email uniqueness" options is selected, these two fields are displayed.

Event Fields

Event Fields customizes the text of the error message to be displayed.

You can select a dynamic data field and click Add to Message.

For example, "Current URL".

Email not unique

Email not unique is the text of the error message to be displayed if the email address entered is not unique.

Example: "A registration already exists with this email address. Please log in to your existing registration rather than creating a new registration."

You can include HTML code in the message.

You can click </> to edit the message in a pop-up HTML Editor.

After editing, click the Update Web Content button to save changes and close the editor.

Organization and Phone Auto-Suggest (Check Boxes)

Organization and Phone Auto-Suggest uses check boxes.

Enable organization auto-suggest

Enable organization auto-suggest allows registrants to select from a list of matching organizations.

Matching organizations are drawn from existing profile records in the same account.

The list is shown when the registrant starts typing in the Organization field.

♦ Clear the check box to disable this.

Enable phone auto-suggest

Enable phone auto-suggest pre-populates phone number fields with the country's calling code.

The registrant adds the rest of the number.

♦ Clear the check box to disable this.

Display Settings

If you include any of the following fields on the registration form, you can optionally provide an explanation to be displayed beneath the field.

Explanation for badge name field

Explanation for badge name field provides an explanation for the badge name field.

For example: "The 'badge name' is your full name exactly as you'd like it to appear on your name badge."

Explanation if requesting a username and password

Explanation if requesting a username and password provides an explanation.

For example: " a username and password to access your personal information at a later date."

Explanation and instruction if displaying date of birth field

Explanation and instruction if displaying date of birth field provides an explanation and an instruction.

For example: "The Date of Birth value has been masked to protect privacy. To re-submit a new date of birth, clear the old value and enter a new date."

You can adjust the length of each of these three sizes of fields.

Default for all three is 25 characters.

size of input field (long fields)

Size of input field (long fields) is the Length (in characters) of long fields.

size of input field (medium fields)

Size of input field (medium fields) is the Length (in characters) of medium fields.

size of input field (short fields)

Size of input field (short fields) is the Length (in characters) of short fields.

Default States Available

Default States Available selects the countries for which the default states (if defined) must be available.

The default states are available in the State/Province drop-down list on this form.

> Note: States are not available for all countries.

The countries available for selection here are controlled at the account level.

Default Countries Available selects the countries to be available for selection on this form.

The countries available for selection here are controlled at the account level.
