Prerequisites and Availability
- The Travel Module must be enabled on Plan > Configure > Options.
- This page is available only if the Travel Module is enabled.
- The Travel Page sections appear based on configuration.
- The first two sections appear if the Form Layout includes the travel entry section.
- The remaining sections appear when the Form > Travel page is displayed and the relevant sub-modules are enabled.
Travel Entry (Optional)
Travel Reservations
- The Travel Entry header text is "Travel Reservations."
- The text below the header is "Please provide your travel information."
Travel Entry Setup
- The Travel Needed Question is "Do you require travel assistance?"
- An empty option can be included with the label; the check box is selected by default, but the label is blank.
- No Label is "No."
- Yes Label is "Yes."
- Default Answer is optional; you may select a default answer (No or Yes) for the Travel Needed Question.
- Another common implementation of the Travel Needed Question is "Are you driving or flying to the event?", where the No label is "Driving" and the Yes label is "Flying".
Travel Requests
Section Header - Travel Requests
- The header for this section is "Travel Requests."
- The section is displayed when the Travel page is shown and the Travel Questions sub-module is enabled.
Select Travel Custom Questions to Display
- This section contains a list of all travel custom questions, as configured in Plan > Event Setup > Travel.
- The section is available only if the Travel Questions sub-module is enabled for the event.
- Use the arrows to move fields between Available Fields and Fields To Display.
- Use the Up/Down, Top/Bottom buttons to set the order in which fields appear on the form.
- To move fields back out of the Shown Online list, use the <<- or <<<<- buttons.
- Administrators can add Headers to the list of custom travel questions and insert those headers into the list of fields to display on the form.
Select Traveler Information Fields to Display
- This section lists the "Traveler" information fields available on profile records:
- Passport fields (Passport First Name, Last Name, Country, Number, and Expiration Date)
- Frequent Flier fields (Frequent Flier Program, and Number)
- Seat Preference
- Travel ID
- Click a field in the Available Fields list to add it to Fields To Display.
- Drag and drop fields in Fields To Display to set the display order.
- Active Traveler Information lists all fields selected in Fields To Display in the chosen order.
- For each field in Active Traveler Information, there are two columns:
- Require – select this to require a value.
- Text to display – edit the label shown on the form.
Flight Packages
Flight Packages
- This section lists any Flight Packages set up in Plan > Travel > Flight Packages.
- This section is available only if the Travel Packages sub-module is enabled for the event.
- The Flight Packages sub-module, along with the Individual Flights and Transportation Preferences sections, is required for display of these sections.
- The registrant will see the list of packages for selection, with flight details for each package.
Best Practice Note
- If Flight Packages are included on the form, do not include Individual Flights as well, and vice versa.
Individual Flights
Show Individual Flights selection on form
- If this check box is selected, a list of flights from Plan > Travel > Flights is displayed on the form.
Select flights to be included on the form
- The attendee can select flights from the displayed list.
Best Practice Note
- If Flight Packages are included on the form, do not include Individual Flights as well, and vice versa.
Enable Filters for Flight
Enable By
- To help attendees filter long flight lists, select either Inbound or Outbound to determine which flights can be searched.
- Inbound is selected by default.
Filter options
- Select any of the filter options. None are selected by default.
Flight filtering panel and results
- The selected fields appear in a panel on the form, followed by a Flights button.
- The attendee can enter or select values and click Flights to display only matching flights.

Notes
- Multi-search: if the attendee searches on multiple fields, flights meeting all criteria are shown.
- Inventory: a flight is shown only if inventory remains.
- Flights Included: a flight is shown only if it is selected in the Show Individual Flights section.
Transportation Preferences
Show Transportation Preferences on form
- This section appears if event airports and/or custom transportation types are set up on Travel > Configure.
Transportation options and display
- The form includes a list of transportation types and airports configured on Plan > Travel > Configure.
- Registrants can select their preferences from a single list that includes both airports and transportation types.
Display Label
- The label shown on the form is "Transportation Preferences" by default.
Required
- If selected, the attendee must make a selection.
Limit Transportation Preferences by Group
- This option is shown if the Registration Groups module is enabled and groups have airports and/or transportation types assigned.
- If selected, only airports and transportation types assigned to the registrant’s group are shown.
Ordering and limits
- The Travel section must appear after the registrant’s group has been selected or assigned (in a Groups or Logic Rules section).
- Maximum number of Transportation Preferences that can be selected may be set; leave blank for no limit.
