Travel (Attendee Form)
This page is only available if the selected event has the Travel Module enabled on the Plan > Configure > Options page.
The first two sections are displayed if the Form > Setup > Form Layout includes the "travel entry" section.
The others are displayed whenever the Form > Travel page is displayed.
The other sections require the relevant sub-module to be enabled.
HTML Editor: To format the text in any of the text boxes click the </> icon below its lower right corner to open a WYSIWYG HTML Editor. You can also enter HTML code directly.
Section Header - Travel Entry (Optional)
If this area is collapsed, click to show the fields available, for which you can edit the default text if required.
- Text Above Header – (None)
- Header Text – "Travel Reservations"
- Text Below Header – "Please provide your travel information."
Travel Entry Setup
If this area is collapsed, click to show the fields available, for which you can edit the default text if required.
- Travel Needed Question – "Do you require travel assistance?"
- Include an empty option with the label: – The check box is selected by default.
The label is blank.
The label is ready for you to type one.
- No Label – "No"
- Yes Label – "Yes"
- Default Answer – Optionally, select a default answer (No or Yes) for the Travel Needed Question.
Another common implementation of the Travel Needed Question is "Are you driving or flying to the event?". The No label is "Driving". The Yes label is "Flying".
Section Header - Travel Requests
If this area is collapsed, click to show the fields available, for which you can edit the default text if required.

Select Travel Custom Questions to Display
This section contains a list of all the travel custom questions, as configured in Plan > Event Setup > Travel. This section is only available if the Travel Questions sub-module (of the Travel Module) is enabled for the event.
Select one or more fields in the list of Travel Fields. Click ->> to add them to the list of fields to Show Online. Click ->>>> to add all fields.
Use the Up/Down buttons and the Top/Bottom buttons to set the order in which fields will be displayed on the form.
To move fields back out of the Shown Online list, use the <<- or <<<<- buttons.
> Note: Administrators can add Headers to the list of custom travel questions. > Administrators can insert those headers into the list of fields to display on the form.
Select Traveler Information Fields to Display
This section contains a list of the "Traveler" information fields available on profile records:
- Passport fields (Passport First Name, Last Name, Country, Number, and Expiration Date)
- Frequent Flier fields (Frequent Flier Program, and Number)
- Seat Preference
- Travel ID
Click a field in the list of Available Fields to add it to the list of Fields To Display.
Drag and drop fields in Fields To Display to set the order in which they are to be displayed on the form.
Active Traveler Information
This section lists all the fields selected in Fields To Display, in the order you have determined. This section is updated dynamically if you change anything there.
There are two additional columns for each selected field:
- Require – Select this check box if a value must be provided.
- Text to display – Edit the label to be displayed for this field on the form
Flight Packages
This section contains a list of any Flight Packages you have set up in Plan > Travel > Flight Packages.
This section is only available if the Travel Packages sub-module (of the Travel Module) is enabled for the event.
Select the check box next to each flight package you want to include on the form. The registrant will see the list of packages for selection, with details of the flights on that packages.
Individual Flights
- Show Individual Flights selection on form – If this check box is selected, a list of the flights set up on Plan > Travel > Flights is displayed.
- Select flights to be included on the form for the attendee to select from.
> Best Practice Note: If you are including Flight Packages on the form, you should not include Individual Flights as well, and vice versa.
Enable Filters for Flight
Enable Filters for Flight is used to filter long lists of flights.
- Enable By – To help attendees filter long lists of flights, select either Inbound or Outbound to determine which flights the attendee can choose to on.
Inbound is selected by default.
- Then select any of the filter options.
None are selected by default.
The fields you select will be included in a panel on the form. A Flights button will follow the panel.
The attendee can enter/select values and click Flights to display only the matching flights.
- Flight Number – If selected, form includes a text box.
- Airline – If selected, form includes a list of airlines for selection.
- Departure Port – If selected, form includes a list of airports for selection.
- Arrival Port – If selected, form includes a list of airports for selection.
- Departure Date – If selected, form includes a date/time pair of fields
- Arrival Date – If selected, form includes a date/time pair of fields
Notes:
1. Multi-search: If the attendee searches on multiple fields, the flights displayed are the ones that meet all those criteria. 2. Inventory: A flight is shown only if it has inventory left. 3. Flights Included: A flight is shown only if it is selected in the Show Individual Flights selection on form section.
Transportation Preferences
- Show Transportation Preferences on form – (Displayed if event airports and/or custom transportation types have been set up on Travel > Configure.)
If selected, the form will include a list of the transportation types and airports set up on Plan > Travel > Configure.
Registrants can select their preference(s) from a single list (of both airports and transportation types).
- Display Label – The label to be shown on the form.
Default value = " Transportation Preferences ".
- Required – If selected, the attendee must make a selection.
- Limit Transportation Preferences by Group – (Displayed if the Registration Groups module is enabled for the event, and groups have been added on Plan > roups > Group List, with airports and/or transportation types assigned to them.)
If selected, the only airports and transportation types shown on the form are the ones assigned to the group of which the registrant is a member.
The Travel section on the form must therefore come after the group has been selected or assigned (in a Groups or Logic Rules section).
- Maximum number of Transportation Preferences that can be selected (leave blank for no limit) – Only enter a number here if there is a limit to how many transportation preferences a registrant may select.
