Special consideration is required for managing speakers for Certain Platform events using the Touchpoint mobile solution. Certain Platform uses a unique identifier for Speaker records which is not the case with Touchpoint. Updating Speaker records in Touchpoint will depend on whether the Speaker record was synced to Touchpoint from the Certain Platform or if it was added directly in Touchpoint.
Updating Touchpoint Speaker Records synced from Certain Platform
- If your event in Touchpoint is integrated with an event in the Certain Platform, it is likely that your Speaker records were created in the Certain Platform.
- Those Speaker records synced over to Touchpoint.
- Keeping the Certain Platform as your "system of truth" is important.
- Importing a Speakers spreadsheet into Touchpoint will not update existing Speaker records that were synced from Certain Platform.
- Importing a Speakers spreadsheet into Touchpoint will create new Speakers in Touchpoint, resulting in duplicate Speaker records.
- To update Speaker records that were synced from Certain Platform:
- Navigate to the Speaker's profile in Certain Platform.
- Update the Speaker record.
- Click Save.
- Wait for the updated data to sync over to Touchpoint (5-10 minutes).
Updating Touchpoint Speaker Records NOT synced from Certain Platform
- If the speaker records in Touchpoint were NOT synced from Certain Platform, the speaker details can be updated in Touchpoint via bulk upload.
- Bulk uploading speaker details will add to the existing profile information without creating a duplicate speaker record.
- The first name, last name, and login email on the Speakers import spreadsheet must match exactly the values on the existing speaker record in Touchpoint.
- If these values do not match, a duplicate record could be created.
- To update speaker records that were NOT synced from Certain Platform:
- Navigate to the Speakers page in the Touchpoint CMS.
- Click Export > All to Excel.
- Update the information on the exported Speakers spreadsheet, and save it to your computer.
- Navigate to the Speakers page in the Touchpoint CMS.
- Click Import > Excel.
- Import the updated Speakers spreadsheet.
