Sharing Reports via Tokenized URL

Certain provides the ability to share reports with people who are not provisioned users in Certain. An example is sending a report to the VP of sales. The report shows how many customers registered versus how many prospects registered for an upcoming user conference. Report tokenization enables a unique link to a version of the report. The link can provide read-only access. The link can also allow running selected mass actions.

Tokenization Options

Access options within a tokenized report determine what the recipient can do.

Enable View Only

If this option is selected, the tokenized URL lets the recipient run the report in view-only mode.

Enable Mass-Action(s)

If this option is selected, the tokenized URL lets the recipient run the report in view-only mode.

The recipient can also run the mass actions selected here.

Do Not Enable

If this option is selected, no tokenized URL is created.

If either of the first two options is selected, the following checkbox appears:

Enable report exports

If this checkbox is selected, the tokenized report can export the results.

Clear the checkbox to add a layer of security, disabling export.

Tokenizing a Report

Create your report and save. All report types allow you to generate a tokenized URL.

Navigate to Report > Set up and determine the Access. For this example, enable view only.

Set the expiration for how long this tokenized URL will be available as view only. After the expiration date the tokenized URL will no longer work. If you want it available throughout and after the event, set the expiration date accordingly.

Save your report. A confirmation message appears indicating successful generation.

Under the same Report > Set up, the Tokenization screen updates to display a Tokenized Report URL.

You can select the URL and copy it to the clipboard. Hover over the URL icon to highlight the copy option.

Once copied to the clipboard, the URL can be pasted into an email or other communication. This provides direct access to the report for the recipient.
