The Supplier Detail Information page allows editing the details of a supplier record. The Supplier Detail Information page also allows adding a new supplier. Click List View to return to the list of Suppliers for the account.
Overview
The page provides fields and sections to store standard supplier information, hotel-related details, and venue-related details. It contains warnings about changes affecting events that use the supplier.
Standard Fields
- Type is required.
- The supplier type must be Venue, Chain, Brand, or Other.
- Name is required.
- Unique Code is required.
- Preferred Supplier – Select this checkbox if the supplier is a preferred supplier.
- Image – Select an existing image from the drop-down list.
- If needed, upload a new image for the supplier. The image maximum size is 800 x 800 pixels.
- If the supplier is a hotel, you can display the image on the registration form in the hotel section.
- Uploading an image larger than 1 MB could slow down page load times.
- Chain – If the supplier type is Venue or Brand, you can optionally select the related chain.
- Brand – If the supplier type is Venue, you can optionally select the related brand.
- Web URL – The URL for the supplier's website.
- Email – The supplier's primary email address.
- Street Address – The supplier's street address.
- Address Line 2 – Optional.
- Address Line 3 – Optional.
- Country – The country.
- State – The state (must be in the list of states for the selected country).
- City – Optional.
- Zip Code – Optional.
- Non-US Province – Optional.
- Latitude – If entered, must be a valid latitude value, accurate within -180 to +180, and up to 4 decimal places.
- Longitude – If entered, must be a valid longitude value, accurate within -90 to +90, and up to 4 decimal places.
- Phone – Optional.
- Fax – Optional.
- Toll-free – Optional.
- User Notes – Internal notes about the supplier.
- Registration forms and websites may display the supplier's phone numbers, address, city, state, country, or link to the supplier's website and email address. If these fields are blank, the system will not be able to provide the missing information to the registrant.
- Warning: Any change made to a supplier's information will affect all of the events that use that supplier as the primary venue, or for accommodation blocks.
Hotel Information
- Check to indicate if supplier is a Hotel – select this checkbox if the supplier is a hotel, and you want it to be available in hotel room block management.
- Number of Sleeping Rooms – The total number of sleeping rooms.
- Reg Form Label – Text used to label the hotel on registration forms.
- Hotel Description – Text used to describe the hotel on registration forms.
- Note: Although hotels are held at the account-level, and can be managed on this Suppliers page, they are usually managed in an event on the Accommodation > Hotels page.
- Warning: As noted above, any change made to a hotel affects all of the events that use it.
- If the supplier is also a hotel where you will be managing accommodation blocks, you should complete the information in this section.
Venue Information
- Largest Meeting Space – The size of the largest meeting space (in square feet).
- Total Meeting Space – The total meeting space (in square feet).
- Number of Rooms – The total number of meeting rooms.
