Question

What user roles and permissions are available?

Answer Medium Confidence (75%)

**What user roles and permissions are available?**

Short answer

- Certain provides six built‑in User Types (Administrator, Event Builder, Registration Support, Reports and Approval, Reports Only, Reviewer) and lets Administrators create custom Roles that map to one of those permission levels or inherit a user’s User Type. Roles control event‑level access (which overrides the outside‑event navigation) and include settings for who can fill the role and whether multiple users are allowed.

Details (how it works and what you can configure)

- Built‑in User Types (hierarchy — most to least access):

- Administrator

- Event Builder

- Registration Support

- Reports and Approval

- Reports Only

- Reviewer

- Roles (custom job descriptions) — configurable fields:

- Name, Sort Order

- Allow more than one user to fill this role for each event (Yes/No)

- Required (role must be assigned to an event)

- Permissions Level:

- Determined by User’s Type (default) — user keeps their User Type permissions when in the event

- Override User Type — administrator selects one of the User Types to set the role’s permission level

- Users Available for this Role — which account users administrators make available to be assigned

- Reports Available for this Role — control which reports the role can access

- Special role flags (example options): Restrict Admin User Access (prevents an Administrator from viewing/creating/modifying user records); Disable Report Results Drill Down (prevents drill‑down in report result windows but allows mass actions)

- Assignment and behavior notes:

- A user cannot be assigned a role with a permission level higher than their User Type.

- If a user has multiple roles assigned, Certain uses the role with the highest permission level.

- Navigation outside an event is determined by the user’s User Type; once inside an event, access is determined by the role assigned for that event. When exiting the event, access reverts to the User Type.

- When an Event Builder or Administrator opens role assignment during event setup, roles automatically assign their “available” users (you can deselect). Registration Support users must manually select users for roles in the Event Desktop.

Question for you

- Are you configuring roles as an Administrator (creating custom roles) or assigning roles for a specific event as an Event Builder/Registration Support?
