Access via: (Event) > Plan > Promo Codes > Import Promo Codes.
The wizard enables you to import promo codes into your event from a CSV file. The process consists of two steps: A) Prepare an Import File; B) Import Your Data.
A. Prepare an Import File
- Start by preparing a .CSV file containing the data to be imported.
- Best practice: Keep the columns in the same order, and using the same or similar names, as used in the mapping step described below.
- This makes the mapping step quicker and easier.
- The header row must contain the column names. You will use these names when mapping the fields.
- Note regarding Required fields: See the list of columns to import, below.
- All fields apart from Capacity are required fields.
- A file cannot be imported if any of the required fields are not included.
- An import of a record will fail if any required field has no value.
- Save the file as a .CSV file, where the first row contains the column headings (the field names).
- Sample CSV File: promo_code_import_sample_csv_file
- You can right-click this file name to save a sample CSV file with columns for all the fields.
- Note: Be sure to replace the sample data with your own data to import.
B. Import Your Data
- Once you have a CSV file of Promo Codes to import, step through the Event Promo Code Import Wizard to import it.
- Import Promo Codes: Browse to select a file to upload, and Upload it.
- In the pop-up window, map the columns in the import file to the data fields, which are as listed below.
- See the Promo Codes help topic for full details of these fields.
- Promo Name – (Required)
- Promo Code – (Required) Must be unique to the event.
- Caution: If the Promo Code already exists, the import will update the record.
- Attendee Type Code(s) – (Required) Must be existing Attendee Type(s).
- If more than one, separate them with | ("pipe") symbols.
- Caution: Ensure the spelling is exactly right; the promo code will not be imported if an attendee type doesn't match precisely.
- Discount Code(s) – (Required) The discount code(s) to be applied when the promo code is used.
- If more than one, separate them with | ("pipe") symbols.
- Caution: Must already exist in the event (as negative fees in Event Setup > Agenda). The promo code will not be imported if a discount code doesn't exist (with exactly the same code).
- You can import discounts in advance: see the Discount Import Wizard.
- Capacity – The maximum number than can be used by attendees; an integer from 0 to 999999.
- Note: Blank or 0 means unlimited capacity.
- Start Date Availability – (Required) Format mm/dd/yyyy
- Start Time Availability – (Required) Format 9:00 AM
- End Date Availability – (Required) Format mm/dd/yyyy
- End Time Availability – (Required) Format 9:00 AM
- 3) Click Import.
- 4) Your import is queued, and you receive an email as soon as it is processed. The promo codes are then available for use.
