Displaying Subtotals in Reports

Subtotals can be displayed on printable report formats: Adobe PDF, Printable Excel, and Printable HTML.

Subtotals appear underneath each column selected for display.

Subtotals display the sum by aggregation for numeric data in the selected fields.

Subtotals display the maximum by aggregation for numeric data in the selected fields.

Subtotals display the minimum by aggregation for numeric data in the selected fields.

Subtotals display the average by aggregation for numeric data in the selected fields.

Subtotal Options for Grouping

The subtotal page can turn on or off two options that provide the total number of records per group.

Display number of records next to each group shows how many attendees belong to each group.

Display grand total number of records at the bottom of the report shows the overall record total.

Eligible Columns for Subtotals

Subtotals can be displayed for columns that contain numeric data.

Examples of numeric data include Total Payments and Balance Due for Registration reports.

Another example is the number of attendees who selected a program item on a Registration Agenda report.

How to Show Subtotals for a Data Field

To show the subtotals for a data field, select the check box for Sum.

To show the subtotals for a data field, select the check box for Maximum.

To show the subtotals for a data field, select the check box for Minimum.

To show the subtotals for a data field, select the check box for Average.

Multiple check boxes may be selected.

The subtotals appear in a row beneath each report grouping, or at the bottom of the report if no groupings are designated.

Note on Groups and Subtotals and Changes Reports

Groups and Subtotals are ignored when running a Changes Report with the "Return Changes Since" option.

If the report setup includes Groups or Subtotals, Subtotals are not included.

Groups are treated as columns in the front of the record set, and ignored in the results rendering.

This behavior matches how a report with Groups or Subtotals appears in the Report Results window, since these options are intended for exported report results.
