The Flights page is the second page-link in the left navigation panel on the Travel page in an event.
The Flights page is displayed if the Travel Packages sub-module of the Travel Module is enabled for the event in Settings > Options.
> Note: Flights can be imported on a different page. See Plan > Travel > Import.
Flights page purpose
You can see, edit, and add the flights for an event on the Flights page.
These flights can be assigned in multiple ways.
- Flights can be assigned to Flight Packages.
- Flight Packages consist of multiple flights.
- Attendees can select Flight Packages on a registration form.
- Registration form setup is described in Plan > Forms > Travel.
- Flights can also be allocated directly to attendees on Registrations > Travel.
- Flights can be made available for selection as “Individual Flights” on a registration form.
- Registration form setup is described in Forms > Travel.
- Flights can also be assigned directly on Registrations > Travel.
When attendees select flights or when flights are assigned to attendees, the inventory is managed based on the number of seats that have been booked.
Inventory management is described in “Flight_Inventory” below.
Flight actions
To add a flight, click the Add New button.
To edit a flight, click the flight in the Actions column.
To delete a flight, click the flight in the Actions column.
To export a list of all flights to Excel (Flight Reservation Report.xls), click above the table of flights.

Flights list
All flights set up in the event are listed.
This may be a multi-page list.
The following information is shown for each flight.
- Departure Date/Time (including an Inbound Flight or Outbound Flight icon)
- Departure Port
- Arrival Date/Time
- Arrival Port
- Airline
- Flight Code
- Actions (click to edit the flight, or to delete it)
Filter flights
To apply a filter, click the Select field above the table.
The Select field is followed by a drop-down list.
The filter options are:
- Airline
- Flight Code
- Departure Port
- Arrival Port
- Inbound/Outbound
Then select or type a value for the selected filter field.
Then click Search.
Only matching flights are displayed in the table.
Flight Information
The Flight Information section replaces the list of flights when you add or edit a flight.
Select or type values in each field in this section.
- Inbound/Outbound – (Required) Select Inbound (to event) for incoming flights.
- Inbound/Outbound – (Required) Select Outbound (from event) for outgoing flights.
- Flight Code – (Required) The airline’s code identifying the flight.
- Flight Code – Must be unique to the event.
- Flight Code – Max. length = 15 characters.
- Description – An optional description of the flight.
- Airline – (Required) The airline (carrier) operating the flight.
- Airline – As you type two or more characters, a list of matching airlines is displayed for selection.
- Aircraft Type – (Optional) The aircraft type used on the flight.
- Aircraft Type – Example: B734 - Boeing 737-400.
- Aircraft Type – As you type three or more characters, a list of matching aircraft types is displayed for selection.
> Note: The match is against the Aircraft Type itself, not its “Type ID”.
> If you type “Boe”, the list includes many aircraft types, such as “B734 - Boeing 737-400”.
> If you type “B73”, the list does not return anything at all.
- Departure Date/Time – (Required) The date and time the flight is scheduled to leave.
- Departure Port – (Required) The airport from which the flight will leave.
- Departure Port – As you type three or more characters, a list of matching airports is displayed for selection.
- Departure Port – Example: “LAX - Los Angeles International Airport”.
- Departure Terminal – (Optional) Type the name or number of the terminal at the Departure Port.
- Departure Terminal – Example: “International” or “1”.
- Departure Gate – (Optional) Type the gate number at the departure terminal.
- Arrival Date/Time – (Required) The date and time the flight is scheduled to arrive.
- Arrival Port – (Required) The airport at which the flight will arrive.
- Arrival Port – As you type three or more characters, a list of matching airports is displayed for selection.
- Arrival Port – Example: “SFO - San Francisco International Airport”.
- Arrival Terminal – (Optional) Type the name or number of the terminal at the Arrival Port.
- Arrival Terminal – Example: “International” or “2”.
- Arrival Gate – (Optional) Type the gate number at the arrival terminal.
- Duration – (Optional) Duration of flight.
- Duration – Example: “17h 5m”.
- Distance – (Optional) Distance between departure port and destination port.
- Distance – Measure in miles or km.
- Distance – Example: “2356 miles”.
Click Save to save changes and remain editing the same flight.
The Flight Inventory section described below is displayed, so you can add inventory.
Or click Save & New to save changes and add another flight.
Flight Inventory
The Flight Inventory section is displayed below the Flight Information section when you have added or are editing a flight.
This section lists seat blocks on the flight.
This section is where you can add more.
What are “Reference Numbers”?
“Reference Number” is the generic term used in Certain for the confirmation or booking number for a set of seats booked on a flight.
A Reference Number may refer to any of the following, depending on different systems or airlines.
- PNR (Passenger Name Reservation)
- Record locator
- Confirmation number
- Reservation number
- Confirmation code
- Booking reference
- Booking code
Seat blocks list fields
The current seat blocks are listed.
The seat blocks list shows the following fields.
- Seat Block ID
- Reference Number
- Inventory
- Flight Class
- Action Code
- Booking Status
- Actions

Add/Edit Flight Inventory
To add a seat block to a flight, click Add New.
To edit a seat block, click.
A pop-window opens.
The pop-window shows the following fields.
- Seat Block ID – (Required) A descriptive name for a given block of seats.
- Seat Block ID – Must be unique to the flight.
- Reference Number – (Required) The unique identifier for this booking, as set by the travel provider.
- Reference Number – Must be unique to the flight.
- Inventory – (Required) The number of seats reserved in this booking on this flight.
- Total Amount – (Optional) The full amount charged for this flight.
- Total Amount – Total Amount includes the ticket price plus any travel taxes.
- Total Amount – Total Amount uses the currency shown in the Travel & Accommodation Currency Label on Plan > Event Setup > Details.
- Travel Tax – (Optional) The amount charged for travel taxes on this flight.
- Travel Tax – Travel Tax is included in the Total Amount.
- Travel Tax – Travel Tax uses the same currency as Total Amount.
- Flight Class – (Optional) Select a flight class.
- Flight Class – Flight classes include: “Business”, “Economy”, “First”, “Economy Plus”, or “Other”.
- Travel Type – (Optional) Select a Travel Type.
- Travel Type – Travel Type values are set up on Plan > Travel > Configure.
- Travel Type – Travel Type is used as the default Travel Type on an attendee’s reservation when assigned this flight.
- Action Code – (Optional) Select an Action Code.
- Action Code – Action Code values are set up on Plan > Travel > Configure.
- Action Code – Action Code is used as the default Action Code on an attendee’s reservation when assigned this flight.
- Booking Status – (Optional) Select a Booking Status.
- Booking Status – Booking Status values are set up on Plan > Travel > Configure.
- Booking Status – Booking Status is used as the default Booking Status on an attendee’s reservation when assigned this flight.
- Note – (Optional) Enter any free text about the seat block.
